Oil and vinegar, peanut butter and jelly, and email signatures and corporate life, they all go together. Even if you hate email signatures, it is an unspoken expectation that you have one in most organizations.
“An email signature exerts professionalism,” says Mudassir Ahmed of Blogging Explained. “Email that ends with a signature creates more positive impact as you include your headshot, business logo, mission line, quick links to contact, social media, and blog. By doing so, the prospects can explore more about your services, work process and brand identity.
It conveys a cohesive and consistent brand image which simply implies that you are trustworthy and also gives the prospects a feeling that they’re dealing with an established and a reliable organization.”
Trevor Larson of Nectar HR agrees, “For me, a person’s email signature is what communicates professionalism and credibility. A signature that includes links to well-maintained social media profiles, company bios and a person’s website makes a much better impression on prospects, especially when cold pitching.”
Not to mention, email signatures are table stakes for sales professionals. In fact, 75.9% of sales pros say having an email signature helped them close a sale.
“The email signature is the first place I look,” says Brad Touesnard of SpinupWP. “It’s akin to a virtual business card—I want to see that I can contact the salesperson easily if I need to. A sales rep who puts their information in an accessible place, like the email signature, is someone who will be an active responder to questions.”

Not to mention, your email signature is almost like free advertising. Most people send and receive dozens of emails each day. This is a simple way to get relevant value props and offers to the people who you are already messaging.
Jenna Carson of Music Grotto says, “Email signatures are never going to generate as many leads as a marketing campaign or a telesales employee but email signatures are free advertising space which allows you tell a prospect some information they didn’t already know and email signatures are often underused, allowing you to advertise in a space where a prospect will least expect it.

Many people also include relevant contact information. While you don’t need to include your email address (since that’s redundant information), you might want to include your office phone number, cell number, relevant social media icons, or your office mailing address.Pro tip: Some people still insist on including a fax number in your email signature. This can actually make you and your company look like tech dinosaurs. When’s the last time you have seen a fax machine – let alone used one?If you want to stand out, you might also include a profile photo or animated gif.
“One of the elements that work for us is a profile picture,” says Nathan Sebastian of GoodFirms. “It caters to two psychology tricks: First, people tend to remember visuals rather than content. Second, people tend to connect with people.
According to popular expertise, businesses must provide personalized experiences through email to their potential customers. And adding a profile picture ensures a personal reach to the recipient. At the same time, a brand logo works the best for business emails where brand awareness has to be made, and the corresponding entity doesn’t matter much.”
Natasha Rei of Explainerd adds, “This email works well for us. In fact, we use the same company-branded GIF to capture attention faster. Our email signature includes the detailed information a recipient can get from the get-go. From the signature, people can visit our landing page in an instant, allowing more leads to convert easily.”
However, less is more when it comes to your email signature.
Alan Harder says, “In order for prospects to know who contacted them, an efficient email signature should include the individual’s name and location at the organization. In the body of an email, there’s no need for any more self-introduction. Just as much information as is needed for a prospect to learn who you are and where to find you should be included in a well-crafted email signature. Don’t handle it as though it were a mini-bio. Be succinct and only provide details that are relevant to your prospects.”

Mike Chappell of FormsPal explains, “Email signatures may be tailored to specific markets and target populations. For instance, identifying your buyer persona can help you provide a connection to the most recent case study in an email to a prospective partner or an enticing deal in an email to a prospective client, if you have the relevant information about their pain points and interests.Essentially, you may build many distinct signatures and switch them out based on the circumstance. And consider the wonders that a customized email signature will accomplish! Rather than having a standardized sign-off, you should customize a current one for specific individuals.
Of course, you should not have to do this with every contact, but it would not hurt to include a unique thing in your signature that a very special individual would appreciate. Social evidence is included in your inbox. Company communication is also beneficial if you want to improve your contacts’ interest in your brand.
For starters, you can experiment with a banner for your email signature. Have a testimonial from a satisfied consumer within. Moreover, you should have any media statistics that can further boost your reputation, such as the amount of fans your business has on one or more of your networks.
