Agentic analytics for hotel management companies

80% of hotels spend up to two working days a week building reports by hand.Owners still ask why the number moved.

That’s from HEDNA’s State of Distribution 2025, covering more than 21,000 properties. Meanwhile labor cost per occupied room rose 12.8% in 2025, and winning a guest often costs 20% to 30% of what they pay. The owner report says what happened. It rarely says why.

For a management company running 10 properties of 180 rooms each, by filling rooms you’d have seen going empty, moving bookings off the costliest channels, and getting the owner report built for you.

Owners read the report on Monday and ask what moved NOI.

They want to know what changed, what was in your control, and what you did about it. As one hotel finance adviser put it: “Most reports still answer what happened, but not why it happened or what management did about it.”

At most management companies the report is still built by hand: export from each property’s systems, reconcile in a spreadsheet, format it, send it before the owner review. Every new property adds to the pile.

Rooms that expire every night

A room-night you don’t sell tonight is gone. US hotels ran 67.9% occupancy in the first half of 2026 with RevPAR up 8.9%, but the gains were uneven: luxury RevPAR rose 15.9% while economy fell 2.7%. Your portfolio probably has the same split, and a group average hides which properties are pulling the rest.

What we build for it

Every Monday, an AI agent checks each property’s bookings for the next 30 days against its own history and budget, and flags the dates falling behind while there’s still time to move rate or spend.

What each booking really costs

OTA commissions typically run 15% to 30%, and OTA bookings cancelled about twice as often as direct ones in 2025 (21.8% against 10.6%). Expedia Group was the top revenue channel for North American hotels in 2025, for the first time since 2020. Most reports still show gross room revenue by channel, before any of that comes off.

What we build for it

An AI agent reports net revenue by channel for every property, after commission and cancellations, and flags when OTA share creeps up on dates you could have sold direct.

Labor that doesn’t follow demand

Labor cost per occupied room rose 12.8% in 2025, and cost per labor hour rose 8.0%. HVS names schedules tied to brand standards instead of demand as one reason labor costs keep climbing. When the schedule is set before anyone checks the forecast, you pay for shifts the occupancy didn’t need.

What we build for it

An AI agent puts each property’s labor cost per occupied room next to its forecast occupancy, and flags the weeks where the schedule and the demand don’t match.

How we worked this out

Occupancy: a 2-point gap on every available room-night at a $190 rate. With monthly reporting, we assume 30% of that gap goes unnoticed and 30% of that is recoverable, so we count 9% of it. Channels: we apply 67.9% occupancy (US hotels, first half of 2026) and assume a direct booking costs about 10 points less than an OTA booking, on 1% of room revenue. Reporting: 2 hours per property a week, 50 weeks, at $40 an hour. We don’t count any labor savings.

Before you ask

Questions we usually get before the call.

“Our PMS and revenue system already report this.”

Each reports its own slice, usually one property at a time. None of them puts ad spend, channel costs, labor and the owner P&L in the same row, and the owner’s question needs all of them.

“Every owner wants a different format.”

That’s why it’s worth building once. One template runs across every property, and each owner gets a version branded for them that shows only their hotels.

“We could export it and ask an AI.”

Chat tools cut off large exports without telling you, give a different answer next week, and do nothing on Monday unless someone asks again. Owners notice when the numbers change between reports.
